These are the terms and conditions for the use of the Civica Town Council website and its associated sites.

Management and ownership

This site is owned by Civica Town Council (referred to as 'we' or 'our') and is managed by the marketing and communications team.

Terms of use

This website is maintained for your personal use and viewing. In entering our site you as a user are accepting our terms and conditions, which take effect from the date on which you first use this website. By accessing and using this site, you accept:

  • You agree to use this site only for lawful purposes and in a manner that does not infringe the rights of, or restrict or inhibit the use and enjoyment of, this site by any third party.
  • Such restriction or inhibition includes, without limitation, conduct which is unlawful or which may harass or cause distress or inconvenience to any person and the transmission of obscene or offensive content or disruption of normal flow of dialogue within this site.
  • You are prohibited from posting or transmitting via this website any unlawful, defamatory, obscene, offensive or scandalous material or any material that constitutes or encourages conduct that would be considered a criminal offence, likely to give rise to civil liability, or otherwise violates any law.

Privacy and data protection

When completing forms you may be asked for personal information such as name, address and postcode. It is only when you supply this type of information that you can be personally identified.

Information may be collected:

  • to fulfil your request for information or services
  • as input to improving our site
  • as part of the process of consultation

We are registered with the Data Protection Act 1998 for the purpose of processing personal data in the performance of its legitimate business. Any information held by us will be processed in compliance with the principles set out in the act. We are obliged to comply with and support the objectives of the Data Protection Act 1998. We will:

  • continue to strengthen our procedures for maintaining the confidentiality of all personal information we hold
  • require all of our employees to comply fully with this policy and data protection principles
  • hold the minimum personal information necessary to enable us to perform our functions which is erased once the need to hold it has passed
  • make every effort to ensure this information is accurate, up-to-date and that any inaccuracies are corrected without unnecessary delay
  • obtain all personal data in accordance with the Fair Processing Code and lawfully process it in accordance with the conditions for processing
  • design our systems and processes to comply with data protection principles
  • not publish personal data on our website without the explicit consent of its subject
  • take immediate action if we discover that our policies are not being complied with

Any personal information will only be disclosed for notified purposes to:

  • our staff: where the information is vital to their work
  • the courts: under the direction of a court order
  • our partners: strictly in accordance with agreed protocols
  • others: as detailed in the notified register entry

We use your email address for council information and/or news. Civica Town uses an external supplier to send these emails, but Civica Town Council will remain responsible for the security of your data. Your email address was gathered from information you have given in the course of interactions with Civica Town Council and you always have the opportunity to unsubscribe yourself from this list. You can always re-subscribe in the future should you wish.

Information collected by us is used for internal review to:

  • improve the content of this site
  • customise the content and/or layout of this site
  • notify users (with their consent) about updates to this site
  • contact users (with their consent) for marketing purposes

Information collected is not shared with other organisations for commercial purposes.

Fair Processing Notice

Civica Town Council is required by law to protect the public funds it administers. It may share information provided to it with other bodies responsible for auditing or administering public funds, in order to prevent and detect fraud.

Data matching involves comparing computer records held by one body
against other computer records held by the same or another body to see how far they match. This is usually personal information. Computerised data matching allows potentially fraudulent claims and payments to be identified. Where a match is found it may indicate that there is an inconsistency which requires further investigation. No assumption can be made as to whether there is fraud, error or other explanation until an investigation is carried out.

Civica Town Council will conduct data matching on internal systems using information gathered by council services and/or partner organisations for the purpose of preventing and detecting fraud.

We are not responsible for the content of any linked site. Links on our website will lead to other websites which are not under our control. We cannot guarantee these links will work all of the time and have no control over the availability of the linked pages. Listing and linking should not be taken as an endorsement of any kind and we accept no liability in respect of the content.

Virus protection

We make every effort to check and test material at all stages of production.

If we waive any rights available to us under these terms and conditions on one occasion this does not means that those rights will automatically be waived on any other occasion.

If any of these terms and conditions are held to be invalid, unenforceable or illegal for any reason the remaining terms and conditions shall nevertheless continue in full force.
